Best Practices to Prevent WhatsApp Number Bans During Bulk Sends
WhatsApp bans numbers based on behavioral signals and recipient reports - not message volume alone. Follow these ten field-tested rules and your bulk campaigns can run for years; break the first three and even a small blast can kill a number in a day.
1. Pace every send with random delays
A human doesn't message 500 people in 60 seconds. Keep at least 3-8 seconds between messages, with random jitter so the interval is never constant. This is the single strongest signal - machine-gun sending is the fastest route to a ban. (The platform's broadcaster and per-account throttle enforce this automatically.)
2. Warm up new numbers - slowly
- Days 1-3: normal personal usage only - join groups, chat with a few contacts, receive messages.
- Week 1: 20-50 outbound messages/day to people who reply.
- Week 2-3: 100-200/day, keep watching for warnings.
- Only after ~3 weeks: real campaign volumes.
Fresh numbers are banned at the slightest anomaly; aged numbers with reply history get far more tolerance. The platform automatically applies extra-conservative pacing to numbers connected less than 7 days ago.
3. Message people who expect to hear from you
'Report spam' taps are the metric WhatsApp weighs most heavily. Your customers, your subscribers, people who checked out on your site - fine. A purchased contact list of strangers - a ban countdown. There is no pacing trick that survives a high report rate.
4. Personalize every message
Identical text sent 1,000 times is fingerprintable. 'Hi {name}, your order #{order_id} is ready' renders differently for every recipient - and personalized messages also get reported dramatically less. Use spreadsheet columns as placeholders in your broadcasts.
5. Offer a real opt-out
End campaigns with 'Reply STOP to unsubscribe' - and honor it (a blacklist per number takes care of that). An unsubscribe costs you one contact; a spam report costs you reputation on every future send.
6. Keep a healthy send/receive ratio
Numbers that only broadcast look like broadcast machines. Encourage replies ('Reply 1 for details'), answer incoming chats - an AI auto-responder keeps two-way traffic flowing even at night.
7. Clean your lists
- Remove numbers that failed in previous campaigns - repeatedly messaging non-WhatsApp numbers is a bot signal.
- Drop contacts who never respond after several campaigns.
- Never re-add people who opted out.
8. Use a dedicated number (never your personal one)
Worst case for a dedicated business number is losing that number. Worst case for your personal number is losing your chats, groups, and identity. Buy a separate SIM for sending - always.
9. Spread volume across numbers
10,000 messages is safer as 3-4 numbers × 2,500-3,000 than one number doing everything - and a ban then costs a quarter of your capacity, not all of it. Multi-number plans exist for exactly this.
10. Watch your analytics for early warnings
Falling delivered-rates or rising failures mid-campaign are early smoke. Pause, slow down, and investigate rather than pushing through - a campaign that pauses itself when something looks wrong is a feature, not an annoyance.
